A property management invoice is really an account: a percentage fee, a leasing commission that appears once a year, and a stack of maintenance costs paid on the owner's behalf. Owners tolerate all three and query any that arrive without a breakdown, so the recharges belong as named lines rather than as one figure marked 'maintenance'.

What to put on a property management invoice

  • The property address and the period covered
  • Rent collected, since the management fee is usually a percentage of it
  • The management fee with its percentage shown
  • Leasing or renewal commission, which recurs rarely and is questioned every time
  • Maintenance and repairs recharged, each named with the vendor
  • Any reserve held or replenished, so the owner's cash position is clear

Questions

Should maintenance be itemised or summarised?

Itemised, with the vendor. Owners approve individual repairs readily and lump sums never, and the itemised version is also what they need when the property's expenses go on a tax return.

How is the management fee usually calculated?

As a percentage of rent collected rather than rent due — which matters in a month with an arrear. Showing both figures makes the fee self-explanatory in exactly the month an owner would otherwise call.
