What to put on a sports coaching invoice

  • The athlete's name and the programme or squad
  • Sessions delivered, counted, by type — individual, small group, team
  • Facility or field hire, where it is passed on to families
  • Tournament or league entry fees, named per event
  • Travel, and any coach expenses at away fixtures
  • Kit or equipment supplied, which is goods rather than coaching

Questions

Should facility hire be passed on separately?

Yes. Field and court time is a fixed cost that does not move with how many athletes attend, and families who see it separately understand why a small squad costs more per head than a large one.

How should tournament fees be handled?

Named per event, at cost. They arrive irregularly, they are set by someone else, and they are the charges parents most often want to opt out of — which they cannot do if the fee is inside a season figure.
