What to put on a tax preparation invoice
- The tax year the return covers, since invoices arrive in a different one
- Each form and schedule priced separately — that is how the fee was built
- State returns counted, since a second state is a second return
- E-filing fees, and any bank product or refund transfer fee, stated plainly
- Extensions, amendments and prior-year work as their own lines
- Your PTIN, and your EFIN where the client's records need it
Questions
Should I price by form or by the hour?
By form is what most clients expect and what makes an invoice defensible: they can see that a Schedule C and two rental properties are why theirs cost what it did. Hourly is harder to sell on a return the client believes is simple, and it invites the argument about how long it should have taken.
Does my PTIN belong on the invoice?
It costs a line and it is the number a client needs if they ever have to identify who prepared a return. Paid preparers must have one and must include it on the return itself; putting it on the invoice too means the client's own file is complete.
How should refund transfer fees appear?
On their own line, named. A fee taken out of a refund is still a fee the client paid, and the ones that generate complaints to state boards are the ones the client only discovered when the deposit was short.
