A restoration invoice is written for an adjuster who was not on site and who is deciding whether the drying was justified. Equipment days are the largest line and the most questioned, and the only thing that defends them is the moisture log — so the document has to carry the category, the class and what the readings did, not just what the machines cost.

What to put on a water damage restoration invoice

  • The claim number, the adjuster and the date of loss
  • The category of water and the class of the affected area, which drive the whole scope
  • Each piece of drying equipment by type and by day placed
  • Moisture readings referenced, since equipment days without them are the line that gets cut
  • Demolition and disposal of unsalvageable materials, itemised
  • Antimicrobial application, where the category required it

Questions

Why do equipment days get denied?

Because they are billed without evidence. An air mover for six days is defensible when daily moisture readings show the material still wet on day five; the same six days with no log reads as equipment left running, and that is what an adjuster removes.

Why state the category and class?

Because they justify the scope. Category tells the adjuster how contaminated the water was and therefore what had to be removed rather than dried; class tells them how much of the room was affected and therefore how much equipment the drying needed. Without both, every line looks discretionary.

Should the homeowner's deductible appear?

Yes, so the split between what the carrier pays and what the homeowner pays is unambiguous before the job closes. It is the number the homeowner is least prepared for and the one they most often say they were never told.
