Trucking Quote Template
Lane, linehaul, fuel surcharge, detention and lumper — priced per load. Free PDF, no sign-up.
A lane rate is a fixed price for a known distance carrying a known commodity, and it holds for as long as the fuel surcharge it was built on holds — which is a week. What breaks a trucking price is never the miles; it is the hours nobody sold: detention at the dock, a layover, a lumper fee at the receiver. Name them all on the quote with their rates, and the load is priced before it is booked rather than argued about after delivery.

What this quote commits you to
- How long it stands
- 7 days, because the price is built on the fuel surcharge published for the current week.
- What it does not cover
- Detention past two free hours at each end, layover, lumper fees paid to a third-party unloading service, tolls on a re-route, and reefer fuel.
- What would change the price
- A weight or commodity different from the one quoted, or a stop added to the lane after the load has been dispatched.
- How the client accepts it
- Sign the rate confirmation and return it before pickup; without it, the load is not moving at this price.

What to put on a trucking quote
- The lane, stated origin to destination, with the mileage and the routing basis
- Linehaul rate, per mile or flat, and which one the total was built from
- Fuel surcharge as its own line, with the week's index it comes from
- Free time at pickup and delivery, and the detention rate after it
- Layover, TONU and driver assist rates listed even when they are not charged
- Equipment type, and for reefer the temperature and whether fuel is included
- Weight and commodity, because the price is only good for the ones quoted
Questions
Why is a trucking quote only good for a week?
Because the fuel surcharge is published weekly and it is a real part of the number. A rate held for a month is a carrier absorbing a fuel move they were never paid for, which is how a profitable lane quietly becomes an unprofitable one.
Should accessorials be listed if the load will not need them?
Yes. Detention and lumper fees are exactly the charges a broker disputes at invoice time, and the only reliable defence is that the rate confirmation they signed carried the number in advance.
What happens if the commodity is different from the one quoted?
The price stops applying. Weight, freight class and handling all follow from the commodity, so a quote should say plainly that a different load is a different rate rather than leave that to be discovered at the scale.
What changes when a broker quotes the shipper, rather than a carrier quoting the broker?
This document is the second of those two. A brokerage quoting its own customer usually shows one all-in lane rate instead of linehaul and fuel on separate lines — the shipper is buying a delivered price, and the split is the broker's own cost structure. Three things follow. The accessorial schedule has to be the same on both papers, because every dollar of detention the broker did not quote the shipper is a dollar out of the margin rather than out of the customer. The broker's quote carries credit terms the carrier's does not, since the broker is paying the carrier before the shipper pays them. And the carrier's authority and insurance are the broker's problem to have verified before the rate goes out, not the shipper's — which is worth one line on the quote, because it is most of what a shipper is paying a broker for.
