Chauffeured transport is sold as a block of hours against a written itinerary, and both are agreed before the day — so the price can be fixed with confidence. The complication is inventory: a vehicle on a Saturday in June is a perishable good, and holding it for a client who has not committed costs the operator every other booking for that date. That is why a limousine quote is really a document about the deposit.

What this quote commits you to

How long it stands
14 days, or until the date is taken — the calendar is open to other enquiries until a deposit arrives.
What it does not cover
Gratuity beyond the service charge shown, overtime past the booked block, décor or red-carpet packages, and cleaning charges for damage.
What would change the price
An itinerary changed after booking, and any time past the reserved block, billed in half-hour increments at the overtime rate.

What to put on a limousine service quote

  • Vehicle class and passenger capacity, with the specific vehicle if it was promised
  • The hour block, with the start time and where the clock starts and stops
  • The itinerary: every pickup, every stop, every address
  • Overtime rate per hour or half hour, stated in advance
  • Gratuity policy — included at a stated percentage, or not included at all
  • Parking, tolls and venue access fees, and who pays them
  • The deposit that holds the date, and the cancellation window against it

Questions

Should gratuity be built into the quoted price?

Either is defensible; silence is not. A twenty percent service charge discovered at the end of a wedding night is the complaint this industry gets most, and one line on the quote removes it entirely.

When does the hour block start?

Say whether it starts at the pickup time or when the vehicle leaves the garage. Operators differ, clients assume the first, and the difference is an hour of billing on every job that has any distance in it.

How long can a quote hold a date?

Only until somebody else takes it. Quote a validity of a couple of weeks and state plainly that the date is released to other enquiries until the deposit lands — that is the truth of a calendar-based business, and clients respect it.

How is a charter bus or motorcoach quoted differently from a sedan?

Four things change and the first one changes the arithmetic. A coach is priced per vehicle, not per passenger, so the guest count buys vehicles in whole numbers against a hard capacity — fifty-seven guests on a fifty-six seat coach is a second vehicle, and that is a conversation to have on the quote rather than at the kerb. Second, the driver's hours are legally limited and the itinerary has to fit inside them: a long day is a second driver, priced, not a favour asked on the morning. Third, deadhead — the miles from the garage to you and back again — is real cost on a coach in a way it is not on a sedan, so say whether it is inside the rate. Fourth, a coach cannot go everywhere a car can: low bridges, weight limits and where it may stage or park are the site questions, and the quote should name the drop-off point it was priced for.
