A planting job is drawn before it is planted, and the drawing is what makes the price bind: so many shrubs at this container size, so many yards of mulch, so many hours of bed preparation. The part clients underestimate is the soil, and the part they forget is the watering they are responsible for afterwards — a warranty on plant material means nothing without it. Both belong on the document.

What this quote commits you to
- How long it stands
- 30 days, with plant material priced at nursery availability on the day; a substitution is offered before anything goes in the ground.
- What it does not cover
- Irrigation design and installation, tree removal, retaining walls requiring engineering, and maintenance after the establishment period.
- What would change the price
- Soil found unsuitable once the beds are opened, and any grading change needed to move water away from the house.
- How the client accepts it
- Sign the planting plan alongside the quote; the plan names the species, sizes and counts the price is built on.

What to put on a landscaping quote
- The planting plan attached, with species, quantity and container size
- Bed preparation: how deep, what amendment, and how many cubic yards
- Mulch by the yard and edging by the linear foot
- Sod or seed by square foot, with the variety named
- Plant warranty period and what voids it
- The watering schedule the client is responsible for during establishment
- Debris removal and where the spoil from the beds is going
Questions
Why does container size matter in a quote?
Because it is most of the plant's price. Three-gallon shrubs and one-gallon shrubs make identical drawings and very different invoices, so a quote that lists counts without sizes has not really said what the client is buying.
How should a plant warranty be written?
With the watering obligation attached to it. A one-year warranty is generous and defensible when the quote says the client waters deeply twice a week through the first season; without that sentence, it is an open promise about weather.
What if the nursery is out of a plant?
Say on the quote that substitutions are offered for approval before anything is planted. Availability moves week to week, and a client who is shown the substitute in advance treats it as normal rather than as a downgrade.

What is the difference between a quote and an estimate?
A quote is a fixed price you are offering to hold, and it is binding on you once the client accepts it. An estimate is your best projection of the cost and can move if the job does. If the scope is not settled yet, send an estimate instead.
Is a quote legally binding?
Once a client accepts it within the period it stands, a quote generally forms a contract at that price — the details depend on your jurisdiction and on what the document itself says. That is why the price, the scope and the exclusions all belong in writing, and why the document prints the date the offer expires.
How long should a quote be valid until?
Thirty days is the common default, and two weeks is sensible when materials prices are moving. Whatever you choose, state it on the quote: an offer with no expiry is an offer you have made for ever.
Can I raise the price after the client accepts?
Not unilaterally, which is the point of quoting rather than estimating. What you can do is price the variations the client asks for afterwards, provided the quote said what was and was not included.
Do I need to create an account?

Can the client accept the quote online?
Not from a downloaded PDF. Saving the quote to an account gives it a link the client opens and answers on, and the acceptance is recorded against the document rather than living in an email thread.
