Most of a painting job is preparation nobody sees, and most painting complaints come from a customer who priced the paint and could not understand the rest of the bill. Naming preparation as its own line — filling, sanding, masking — is what makes the labour figure legible rather than mysterious.

What to put on a painting invoice

  • The rooms or elevations covered, so the scope is unambiguous
  • Preparation as its own line: filling, sanding, caulking, masking
  • The number of coats, since two is a different job from one
  • Paint by brand, finish and quantity, whether supplied by you or the customer
  • Any repair work — plaster, rot, rust treatment — kept out of the painting lines
  • Whether furniture moving and protection is included

Questions

Should I list paint separately from labour?

Yes, with the brand and finish. Customers price paint easily and labour not at all, so an itemised paint line is what stops the whole invoice being judged against a hardware store shelf.

How do I charge for extra preparation found on site?

As a distinct line naming what was found — failed caulk, previous flaking, water damage. Preparation added silently to a labour total is the version that gets argued about, because the customer agreed to a price for painting, not for the wall behind it.
