Paint is the cheapest part of a painting job and the only part most clients look at. Everything that decides the price — how much sanding, whether the trim is being filled, how many coats the colour change needs — is decided before a brush is opened, which is exactly why a painter can bind to a number. Put the prep on the document as its own money, and the quote stops looking like an argument about the cost of a gallon.

What this quote commits you to

How long it stands
45 days, and colour selections are due two weeks before the start date — paint changed after batching is re-quoted at the new gallon count.
What it does not cover
Lead-safe containment on pre-1978 substrates, carpentry repair to rotten trim, and moving anything heavier than one person can carry.
What would change the price
Substrate found failing once the wash is done: chalked stucco, peeling back to bare wood, or a wall needing a bonding primer we did not scope.
How the client accepts it
Sign the colour schedule as well as the price — the schedule is what the crew works from on the morning they arrive.

What to put on a painting quote

  • Prep by name: wash, scrape, sand, fill, caulk — each is labour somebody is paying for
  • Primer stated as its own coat, not folded into 'two coats'
  • The coat count, and whether a dark-to-light colour change needs a third
  • Surfaces broken out: walls, ceilings, trim, doors, and doors counted per side
  • The product line and sheen per surface, so the client can price the paint themselves
  • Masking and floor protection, and who moves the furniture
  • The colour schedule as an attachment the crew will actually work from

Questions

Should a painting quote be by the square foot or by the room?

Quote the room and show the square footage that produced it. The measure proves the number is not a feeling; the room is what the client is imagining while they read it.

When do colours have to be chosen?

Before the paint is batched, and the quote should say so with a date attached. A colour changed after the store has mixed five gallons is a re-quote, and it is much easier to say that in advance than on the morning it happens.

How do you quote a house built before 1978?

Price the lead-safe work as an explicit option, or exclude it and say what triggers it. RRP containment is real money and real time, and a quote that quietly assumes it away is one you will have to reopen.

About the free quote generator

Is this quote generator really free?

Yes. There is no fee, no trial period and no watermark on the PDF. Nothing on this page requires a credit card.

What is the difference between a quote and an estimate?

A quote is a fixed price you are offering to hold, and it is binding on you once the client accepts it. An estimate is your best projection of the cost and can move if the job does. If the scope is not settled yet, send an estimate instead.

Is a quote legally binding?

Once a client accepts it within the period it stands, a quote generally forms a contract at that price — the details depend on your jurisdiction and on what the document itself says. That is why the price, the scope and the exclusions all belong in writing, and why the document prints the date the offer expires.

How long should a quote be valid until?

Thirty days is the common default, and two weeks is sensible when materials prices are moving. Whatever you choose, state it on the quote: an offer with no expiry is an offer you have made for ever.

Can I raise the price after the client accepts?

Not unilaterally, which is the point of quoting rather than estimating. What you can do is price the variations the client asks for afterwards, provided the quote said what was and was not included.

Do I need to create an account?

No. Fill in the form and download the PDF directly — there is no sign-up and no login for this tool.

Can the client accept the quote online?

Not from a downloaded PDF. Saving the quote to an account gives it a link the client opens and answers on, and the acceptance is recorded against the document rather than living in an email thread.

Can I use this for any currency or country?

Yes. Choose any currency and country for either party — the totals and formatting follow your selection.
