Translation is priced per word, but which words is the whole question: source or target, repetitions or not, and at which rate for which pair. An invoice that names the language pair and the counting basis is one that an agency's system can process without a query, which is most of what determines how fast it gets paid.

What to put on a translation invoice

  • The language pair, since rates differ sharply between them
  • The word count and whether it is source or target words
  • The rate per word, so the arithmetic can be checked
  • Proofreading or revision by a second linguist, as its own line
  • Certification or notarisation where the document required it
  • Any rush surcharge, named rather than folded into the rate

Questions

Source words or target words?

Either, as long as the invoice says which. Target counts run longer in some pairs and shorter in others, so an unstated basis is a difference the client will notice only when it is against them.

Should certification be a separate line?

Yes. A certified translation is a different product with a different liability, and clients frequently request certification after the translation is done — which is much easier to bill if it was never inside the per-word rate.
