Consulting Quote Template
Workstreams, deliverables, named team and the scope the fee is fixed to. Free PDF, no sign-up.
A consulting fee is fixed to a question, not to a period. That is what makes it quotable and it is also the whole risk: a question widens quietly, one business unit at a time, until an engagement priced for six weeks is running in its eleventh. So the document that fixes the fee has to fix the boundary — the workstreams, the number of interviews, the geographies, the deliverable at the end — and say in plain words what happens when the client asks for one more thing.

What this quote commits you to
- How long it stands
- 30 days. The engagement is priced against named consultants whose calendars can only be held that far out.
- What it does not cover
- Travel and accommodation, third-party data or licence fees, and any implementation work after the recommendations are delivered.
- What would change the price
- A widening of the question — an added business unit, an added geography, or interviews beyond the twelve scoped.
- How the client accepts it
- A countersigned statement of work fixes the fee and the start date; the team is assigned from that date and not before.

What to put on a consulting quote
- The question the engagement answers, written as a question
- Workstreams listed with the weeks and the consultants assigned to each
- Named team members and their day rates, because clients buy people
- The deliverable: what document, how long, and who it is presented to
- The interview or survey count the fee assumes
- Data the client must provide, and by when, for the timeline to hold
- What is explicitly out of scope, including implementation of the recommendations
Questions
Should a consulting quote name the consultants?
Yes, if you want the engagement. Clients are buying judgement, and a fee attached to 'a senior team' is a fee attached to nobody — naming the people is also what makes the calendar constraint behind the validity period believable.
How do you stop a scoped engagement from drifting?
By putting a countable number in the scope. Twelve interviews, three business units, two workshops: those are boundaries a client can see themselves crossing, whereas 'a review of the commercial function' is a boundary nobody can find.
Is implementation part of the quote?
Only if you priced it. Excluding it explicitly is not a defensive move — it is what lets you quote implementation properly later, on a scope informed by the work you have actually done.
Does this work for a market research engagement?
It is the same document with the boundary drawn in a different currency. Where this quote counts business units and interviews, a research quote counts completes: sample size, the markets they are drawn from, incidence rate and the length of the instrument, because those four decide the fieldwork cost and every one of them is knowable before the field opens. Panel and incentive costs are a pass-through like the third-party data fees excluded here, fieldwork and analysis are separate phases with separate weeks, and the deliverable is the report plus the data set — say which, because a client who expected the tabs and receives a slide deck has bought something else.
